Robotic process automation (RPA) isn't only for large enterprises. Growing businesses often see the fastest payback, because a few people are spending hours on the same repetitive tasks every week. Here are ten use cases we see working well, plus a simple way to choose your first one.
RPA in one sentence
An RPA "robot" is software that uses your applications the way a person does, opening screens, reading values, typing, clicking and copying data, following clear rules, without changing the applications themselves.
Ten proven use cases
1. Invoice processing
Read supplier invoices from email, extract the invoice number, GSTIN, amounts and dates (using OCR or AI document processing), check them against purchase orders, and enter them into your accounting or ERP system. Exceptions go to a person for review.
2. GST and bank reconciliation
Download statements and GST data, match transactions against your books, and produce a list of mismatches for your accountant. Reconciliation is tedious and rule-based, which makes it ideal for a robot.
3. Order entry from emails and portals
Many businesses receive orders as emails, spreadsheets or customer portal downloads and re-type them into their own system. A robot can capture these orders, validate them and create entries, then confirm back to the customer.
4. Scheduled report generation
Every morning, someone logs into three systems, exports data, combines it in Excel and emails a summary. A robot can do this before the office opens and send the report automatically.
5. Employee onboarding and offboarding
Create accounts, assign licences, add new staff to payroll and attendance systems, and send welcome packs. When someone leaves, revoke access consistently, which is an important security control.
6. Data migration between systems
When you change software, a robot can move thousands of records from the old system to the new one through the user interface, even when no import tool exists.
7. Price, stock and competitor monitoring
Collect prices or stock levels from supplier portals and websites on a schedule and alert you to changes. Always respect each site's terms of use and collect only what you are entitled to access.
8. CRM and customer record updates
Keep customer records in sync across your CRM, billing and support tools, for example when a customer changes their address or plan.
9. Payroll and attendance inputs
Consolidate attendance from biometric devices, leave records and overtime sheets into the format your payroll software or provider needs, and flag anything that looks wrong.
10. Customer document checks
Check that customer-submitted documents are complete and readable, extract key fields, and route incomplete applications back to the customer, speeding up onboarding and KYC-style processes.
How to pick your first automation
Score each candidate process on these questions:
- Is it repetitive and high volume? Daily or weekly tasks with many items are best.
- Is it rule-based? If a new employee could follow a written checklist, a robot probably can too.
- Are the inputs digital? Emails, spreadsheets, PDFs and system screens are fine; handwritten paper needs scanning and OCR first.
- Are the systems stable? Applications whose screens change every month make robots more expensive to maintain.
- Is the benefit measurable? Hours saved, faster turnaround or fewer errors.
A quick way to estimate value: hours spent per month × cost per hour, plus the value of fewer errors and faster processing. Choose a process with a clear benefit that can be automated in a few weeks, prove the result, then expand.
Which tool?
For businesses on Microsoft 365, Power Automate is often the cheapest way to start; UiPath is stronger for complex, high-volume and legacy-system work. See our detailed comparison of UiPath vs Power Automate.
Common pitfalls to avoid
- Automating a broken process. Simplify the process first, then automate it.
- No exception handling. Decide in advance what the robot does when data is missing or a system is down.
- No owner. Every robot needs a business owner and a support plan for when applications change.
